Missed Call Text Back in GoHighLevel: The Setup That Does Not Spam People

The highest return automation in the platform, and the one most likely to get set up badly and text the same person six times.

A missed call is a customer who already decided to hire someone. They are calling three businesses and booking whoever picks up. If you miss the call and say nothing, that job is gone in about four minutes.

Missed call text back is the highest return automation in GoHighLevel, and it takes fifteen minutes. It is also the one most likely to get set up badly and start texting the same person six times.

Here is the version that works.

What it does

Someone calls. You do not answer. Within seconds they get a text from your business number saying you missed them and asking what they need. The conversation moves to text, where you can answer between jobs instead of losing the lead entirely.

That is the whole mechanic. The value is that it turns a dead call into a live thread.

Set it up

Settings, then Phone Numbers, then the number itself. GoHighLevel has a built in Missed Call Text Back toggle there. Turn it on and write the message.

If you want more control, build it as a Workflow instead.

  • Trigger, Call Status, set to No Answer. Add Busy and Failed too, since those are also missed calls from the customer's point of view.
  • Action, Send SMS, from the same number they called.
  • Wait, nothing. It should fire immediately. Speed is the whole point.

Use the built in toggle if you want it simple. Use the workflow if you want to branch by time of day or route to different people.

The guardrails, which is where people get this wrong

Two settings decide whether this reads as helpful or as spam.

Turn re-entry off. If re-entry is allowed, every subsequent missed call from the same person starts the automation again. Someone who calls you three times in a morning gets three identical texts. This is the number one complaint about missed call text back, and it is a checkbox.

Turn stop-on-response on. The moment the customer texts back, the automation should stop. Without this, your follow-up steps keep firing while you are already having a conversation with them, and you look like a robot talking over a human.

Set both. It takes ten seconds and it is the difference between the tool working and the tool embarrassing you.

Do not let voicemail answer first

Check where your number routes before it gives up. If the call hits voicemail after two rings, most callers hang up before they hear anything, and some carriers treat that as a completed call rather than a missed one.

Give the call a real chance to reach a human first. Ring your cell, ring the office, then miss it. The text is the safety net, not the front door.

Write the text like a person

The default templates read like software. Yours should read like you.

Keep it short, name the business, say what you want them to do. Something like this:

Sorry we missed you, this is the business name. What can we help with? Reply here and we will get right back to you.

Three things that matter more than the wording:

  • Send from the number they called. A text from a different number reads as spam.
  • Include your business name. They called three companies. They do not know which one you are.
  • Ask one question. What can we help with gets a reply. Let us know if you need anything does not.

Confirm it actually delivers

Test it yourself, from a phone that is not in your CRM, and then go look at the contact.

Do not trust the word Executed in the workflow log. Executed means the step fired, not that the text arrived. Open Conversations, find the message, and confirm it sent clean. If there is a warning icon, hover it and read the reason.

The two usual causes are a negative agency wallet, which silently blocks every outbound text on the whole account, and the shared link shortener getting filtered by carriers. Both are covered in the delivery guide.

What to build next

Missed call text back catches the lead. It does not book the job. The next two pieces are speed to lead on form fills, so website inquiries get the same instant response, and a follow up sequence for the ones who do not reply the first time, which is most of them.

Build them in that order. Each one is small and each one stops a specific leak.
