GoHighLevel Tutorial: The Setup Order That Actually Works

Most tutorials walk the menu in sidebar order. That is how you end up three weeks in with a beautiful pipeline and no way to text anybody. Here is the real build order.

Most GoHighLevel tutorials walk the menu. Contacts, then Conversations, then Calendars, then Workflows, in the order the sidebar happens to list them.

That is not how you build an account. It is how you end up three weeks in with a beautiful pipeline and no way to text anybody.

This is the order we actually build in, learned from putting a contractor's phone line and estimate flow on the platform. Two steps must happen early or they cost you weeks, and two must not happen before something else or they actively make things worse.

Step 1, day one, start your A2P registration

Do this before anything else, even before you know what you are building.

A2P 10DLC is the carrier registration that lets your number send business texts in the United States. Until it is approved, every SMS feature in GoHighLevel is decoration. And approval is not instant. It can take weeks, and it can bounce back needing a website change or a human review.

So start it on day one and let it process in the background while you build everything else. The single most common way people waste a month is building the whole system first and then discovering that texting needs a registration they have not begun.

The gotcha that fails most registrations is your website, not the form. You need a visible SMS opt in, and if you register with the chat widget then that widget has to be the only SMS opt in on any page it appears on.

Step 2, fund the wallet and turn on auto recharge

Your plan fee does not cover usage. Texts, calls, and emails draw from a separate prepaid wallet at the agency level.

Set this up now, while it is calm, because when it runs dry it does not warn you. Your workflows keep reporting Executed and your messages simply stop arriving.

And verify the auto recharge card actually charges. On the account we run, auto recharge was switched on and the card declined four times over two days. The setting page looked healthy the entire time the wallet sat negative.

Step 3, get your number and decide where calls go

Add your number and set the basics, business hours, voicemail, call recording if you want transcripts.

Then decide routing. Per number you can send calls to a team member, an external number, or Voice AI. Keypress menus are not on that list, they are built as a workflow, which is the next step.

Do not set up ring-all yet. That matters, and here is why.

Step 4, build the press 1 gate before you turn on ring-all

This is the first place order genuinely matters.

If you enable ring-all so every inbound call rings your whole team, and you have not put a screening gate in front of it, every robocall blows up three phones instead of one. Your team will turn their ringers off within a day and then you have a worse problem than you started with.

Build the gate first. Auto dialers do not press keys, so a press 1 to connect menu kills them at the door. Then turn on ring-all behind it, safely.

Two things that break this on the first test, ring targets set to the app only will drop the call in about a second if nobody is logged in, and a personal voicemail answering the call makes GoHighLevel mark it Completed so your missed call text never fires.

Step 5, missed call text back

Now the safety net. A missed call gets an instant text so the lead moves to a conversation instead of evaporating.

Fifteen minutes to build. Two settings decide whether it reads as helpful or as spam, turn re-entry off and stop-on-response on, or a customer who calls twice gets texted twice.

Step 6, connect your website form, then prove the phone number arrives

Here is the failure that wastes the most days in the entire build.

Your form sends leads to GoHighLevel. The contact appears. The email fires. The opportunity lands on the board. And the phone field is empty, so no text can ever send.

We traced this on a live form. The bridge matched the phone by field type, and the form used a plain text field labelled Phone. Name and email came through fine, which is exactly why nobody catches it. A partly working integration looks like a working one.

Do not move to the next step until you have submitted your own form and confirmed the phone number is actually in the contact record.

Step 7, speed to lead

With the phone landing reliably, wire the response, instant text, assign to your closer, create a call task, send the confirmation email, create the opportunity.

No wait steps. The entire value is that you answer before the other three companies they called.

Step 8, the pipeline

Now build the board, because now there is something real to put on it.

The concept that decides whether your pipeline stays useful is Stage versus Status. Stage is where a deal sits in your process. Status is whether it is still alive, Open, Won, Lost, Abandoned. They are independent, so moving a card to your final stage does not close it. That is why most boards turn into graveyards.

Build a smart list filtered to Status Open, call it Active Pipeline, and work from that.

Step 9, reviews, once jobs are completing

Job marked complete fires a review request. This is the last piece because it needs completed jobs to run against, and because reviews are the strongest thing you can be building in the background while everything else matures.

The habit to carry through all nine steps

Verify delivery, never execution.

A workflow reporting Executed means the step fired. It does not mean the text arrived, the call connected, or the customer heard anything. We have watched estimate texts fail silently for weeks with green checkmarks the whole way, and a call log report Success on a call where the customer was hung up on after a second of hold music.

Open Conversations. Look at the actual message. Hover any warning icon. That habit will save you more time than every other tip on this page combined.
